How to add an email signature in Gmail
Gmail makes signatures easy to add and easy to get wrong. The editor accepts pasted rich text and keeps most of it, but it silently drops images that are not hosted on the web. Here is the full set-up, the defaults most people miss, and the fix for the missing logo.

Gmail on the web
- Copy your signature. The free generator gives you a clean one with a Copy signature button.
- In Gmail, click the gear icon, then See all settings.
- Stay on the General tab and scroll to Signature.
- Click Create new, give it a name, then click into the editor and paste (Ctrl+V or ⌘+V).
- Under Signature defaults, pick it for For new emails use and On reply/forward use.
- Scroll to the bottom and click Save changes.
Why the logo does not show, and the fix
Gmail keeps images only when they are hosted at a public web address. An image embedded in the signature (which is what you get when you upload a file to most generators, or paste a picture from your computer) is dropped when you save.
Three ways that work:
- Link to a logo on your website. In the generator, use the link to a logo option with a URL such as
https://yourcompany.com/logo.png. This is the most reliable. - Insert from Google Drive. In Gmail's editor click the image icon, choose the file in Drive, and make sure sharing is set to Anyone with the link, or recipients see a broken image.
- Insert by web address in the same dialog, pasting the image URL.
Keep the logo small: about 100 to 150 pixels wide, exported at double size for sharp screens.
More than one signature
Gmail lets you keep several signatures per account. Create each one under Signature, set one as the default, and switch while writing with the pen icon at the bottom of the compose window. A common pair is a full signature for new mail and a two-line one for replies; the generator's Compact template is made for the second.
Gmail on iPhone and Android
The Gmail app has its own Mobile signature under Settings → your account, and it is plain text. Leave it off and the app uses no signature at all; it does not use your web signature. The only way to get the same signature from a phone is to add it after sending, which is what server-side tools do.
Google Workspace: setting signatures for everyone
The Workspace admin console cannot push a full signature to every user; the built-in append footer option adds plain text at the very bottom of the message, below quoted replies. UnifySig writes each person's signature through the Gmail API with fields from Google Directory, assigns by organisational unit or group, and re-syncs when the directory changes.
Questions
Why did Gmail remove the formatting when I pasted?
Gmail keeps tables, inline styles and links, and drops stylesheets, web fonts and embedded images. Copy as rich text (not as HTML source), and link images from the web.
Can I use an HTML file as a Gmail signature?
Not directly. Open the .htm file in a browser, select the signature, copy it, and paste into Gmail’s signature editor.
How big can a Gmail signature be?
Gmail limits signatures to 10,000 characters. A table-based signature with a linked logo is well under that; one with an embedded image is not.
