Central signature designer

A visual editor that produces clean, table-based HTML that survives Outlook. Start from a template or paste the HTML your agency supplied. Every template is versioned; roll back in one click.

Preview against any real user so you see exactly what they will send.

Dynamic fields from your directory

Name, title, department, phones, office, pronouns, custom attributes: pulled from Entra ID or Google Directory at send time. Empty fields collapse cleanly, so nobody gets a stray “Mobile:” with nothing after it.

Assignment by group or OU

Map signatures to security groups, dynamic groups, Google Groups or organisational units. Rules are ordered with explicit exceptions, and a dry-run shows who would get what before anything goes live.

Marketing banners with scheduling

A banner slot in the signature that marketing controls. Schedule a campaign for a date range, target it to a region or team, and it expires on its own. No ticket, no re-deploy.

Every client, every device

Signatures are applied server-side as mail leaves the tenant. Outlook desktop, Outlook on the web, iPhone, Android, the Gmail app, shared mailboxes, kiosks, mail sent from your ERP: all identical.

Optional client-side sync for Outlook so people see the signature while composing.

Disclaimers and compliance text

Legal, regulatory and confidentiality text as a managed block: applied once per thread, only on external mail if you prefer, with wording versioned so you can show what was sent and when.

HTML that behaves in Outlook.

Most signature tools generate markup that looks fine in the preview and falls apart in a reply chain. Ours is built from the constraints backwards.

Table-based layout, inline styles, no external CSS. Renders the same in Outlook 2016 through New Outlook, Gmail and Apple Mail.
Images hosted on our CDN with fixed dimensions so nothing reflows while it loads. Or embed them inline if your recipients block remote content.
Dark-mode aware. Logos get a light variant; text colours are chosen to survive Outlook’s inversion.
Fields have fallbacks and conditional rows. No title? The row disappears rather than leaving an empty line.

Assignment

Rules you can read, in the order they run.

Group membership is the source of truth. Rules are evaluated top to bottom, the first match wins, and a dry-run tells you the outcome for every mailbox before you commit.

Match on security groups, M365 groups, dynamic groups, Google Groups, OUs or any directory attribute.
Combine a base signature with one or more banners so a regional campaign doesn’t need a new template.
Exceptions for service accounts, shared mailboxes and the CEO’s executive assistant.
Changes apply on the next send. There is no “push” to wait for and nothing to re-deploy.
