How to add an email signature in iCloud Mail

iCloud Mail on the web

1. Sign in at icloud.com and open Mail.
2. Click the Settings gear at the top of the mailbox list, then Settings (older layouts say Preferences).
3. Open the Composing tab.
4. Tick Add a signature and type it in the box.
5. Click Done.

The web editor is plain text: no logo, no colors, no links beyond what recipients' clients auto-detect. Keep it to name, title, company and phone on separate lines.

A formatted signature on a Mac, iPhone or iPad

If you read iCloud mail in Apple's Mail app, the signature lives there instead. Mail on a Mac takes a full HTML signature with a logo; Mail on iPhone and iPad is plain text. The Apple Mail guide has the steps for both, and the free signature generator makes the Mac version in a couple of minutes.

Signatures set in Mail on a Mac sync to other Macs through iCloud Drive, but not to iCloud.com or to iPhone.

iCloud+ custom domains

If you use a custom email domain with iCloud+, the signature settings are the same. For a small team on the same domain, each person sets their own in each place, so agree the layout once: the generator's Share link lets one person set the template and color and send it to the others to fill in.

Common problems

No signature on mail sent from my phone

The iCloud.com signature applies only to mail sent from the website. Set the iPhone one under Settings → Apps → Mail → Signature.

Formatting disappears on the web

Expected. The web signature is plain text. Use Mail on a Mac for a formatted one.

The signature is added twice

Mail on the Mac and iCloud.com each add their own only to mail sent from that place, so a double signature usually means the text was also pasted into the message body or a rule.

Setting signatures for a whole company

iCloud Mail has no admin controls for signatures. Organizations that outgrow it move to Microsoft 365 or Google Workspace, where UnifySig applies one signature policy server-side to every mailbox and device.
